Some drawbacks to this feature are that you lose a little control when you are typing. Word formats for you and some users do not like this. Also, on certain items, you will get a number when you do not expect or need one. For example, you have an attorney whose name begins with an initial (A. George Smith). When you type the name and press ENTER, the first initial "A." converts to an automatic number.

You may wonder whether typing 1, 2, and 3 would be easier than using the ListNum field. Although doing that may be easier initially, the value of using the ListNum field becomes apparent when you cut and paste. When a paragraph contains multiple numbered items that you move or delete, Word automatically updates the ListNum fields. Using ListNum fields assures you of accurate numbering within a paragraph throughout the document.
Using the instructions in #5, add an incrementing SEQ field. You can highlight any of them, except the reset field. For step 7, enter n}. n is the default switch that inserts the next number in the sequence, making it easy to remember. You don't have to specify the \n switch, because it's the default, but you can add it if it helps document your choice.

No matter how light the file might be, if you need 1000 units, that means you send a 1000-page file to the printer if you use Data Merge, that is not as efficient as sending one page and 1000 numbers to insert in the print stream, but to do that you need a plugin, which is what that page Bob directed you is leading up to. I have now permanently “baked” the Inline Counter system into my InDesign defaults. With no documents open, I made a “Counter” CharStyle and a “Zero Footnote” ParStyle, with those crucial zero-level type size attributes, and selected them in the Document Footnote Options. I also added a blank space as a prefix and a period and a blank space as a suffix. Then I made a keyboard shortcut (Ctrl-Alt-F) for the Footnote/Counter. So now Inline Counters can be inserted anywhere and anytime with close to zero efforts.

Basically, the only difference is that we now maintain a VBA.Collection, and this time we do make use of the UniqueKeyVariant parameter, using it as a key to locate the previously assigned number. If we don’t find it, we add to the VBA.Collection. The SQL to use those 2 functions remains identical. The downside is that if the query generates millions worth of rows, the memory may run out due to a large VBA.Collection. However, if a form is bound to that large dataset, it will likely have several other problems anyway so VBA.Collection should not be a problem for forms that loads a few hundred rows. The other downside is that VBA.Collection will persist indefinitely even long after the query has “finished.” Back to form example, you might need to remember to call the ResetRowNumber() function on a form’s close to ensure that you dispose of the VBA.Collection and free up the memory.
I created something like this for a demo and didn't have to use a script. If I remember correctly, I leveraged Workflow. Essentially, the form submission would trigger a very simple workflow that would look at the current counter value on a database table and increment it by 1. The next form would then start with a lookup that would grab that counter and put it into a read-only (or hidden) field. Rinse and repeat.

In the example I explained, I was using a list, but did it with un-linked text boxes using “continue from previous number” and “continue numbers across stories.” I’m guessing that there is no way to tell InDesign that even though there are 4 text boxes on the page, that there are two different lists? I’d probably have to just create two threaded stories for that scenario to work.

OK, First, you need to reread the blog. You should NOT be storing the Transaction_ID. It is a calculated value. Second, your naming is what confused me. Your Passenger table should have an autonumber PassengerID. That PassengerID should be the Foreign Key in your Reservations table. Your servation table should also have an autonumber for ReservationID. I really don’t see why you need sequential numbering in the passenger table. I can understand it in the Reservations table, but not in the passenger table. Also, I don’t see any reason for a transaction date in the passenger table. I can understand a CreateDate for when the passenger signed up.


OK, so what didn’t you understand in my blog? The blog contains instructions on how to deal with this. It tells you that you do not want an LH Identifier field. It tells you that all you need is to add a Sequence field to store the Sequential number. It tells you how to base that number on the current year so it restarts with the new year, Finally it tells you how to combine the year and the sequence # with whatever else you need to display the LH identifier. These instructions are all detailed in the blog.

Footnotes, after all, are always numbered sequentially and update when you add or remove one. The problem is that each time you add a footnote you get an extra space down at the bottom of the column. And of course, it’s not only when you add or delete counters that the numbering auto-updates, but also when you copy or move the text, as when you’re rearranging your listed points. This InDesign inline counter now works exactly like the counters in my old, beloved XyWrite word processors — except I cannot have several counters with separate numbering in the same text story. In XyWrite I could have nine, using only the codes c1, c2,…c9. But for 95% of one’s counter needs, one counter per story is quite ample — as compared to none.


Word's numbering feature is easy to use, but it doesn't work in all situations. For instance, it can't handle an inline number sequence. I know that PrintShopMail will do it, but I was wandering if there was a less expensive solution out there so that I could get numbered tickets (usually 4-up) right off the Xerox. I just want to avoid having to go the the Windmill after trimming and doing it the old fashion way. There is a tiny little copy shop here in town that is doing it, and am willing to bet that they are not using PrintShopMail, but I'm also not going to ask them to share their methods with a competitor. There has to be cheaper solution. I know that I can do it with auto page numbering in Indesign, but that means I can only print raffle tickets 1-up which wont work.
In a legal document, it's rare for every paragraph in the document to be numbered. Usually, you change between numbered paragraphs and non-numbered (plain) paragraphs of text. When Word sees you switching between these types of formats, it usually tries to help by restarting your numbered list back at "1" (or the first value of your list, such as "A"). There are a few different ways to make the number follow the last number of your paragraphs. In Word, this is called Continue from Previous List.

I would like to number a voucher book, i have place 4 vouchers on a page, the thing is that i want each of these vouchers to start with different number, 100, 200, 300, 400, and then i want to number them 99 times. For example, in our law practice, we submit briefs with hundreds of attachments. Those attachments are constantly being reorganized (thus renumbered) and we had to develop a scheme to keep each attachment (and reference to each attachment) organized and accurate. We created a master list of attachments, and captured the dynamic field code in a bookmark. We can then cross-reference to that bookmark (which will return a number) through our documents. Example Public Attachment 68 (where 68 represents a field sequence code, is captured in a bookmark we will call SR_112). The bookmark name is a code name supplied by the drafting lawyer. That way, when the lawyer refers throughout the document to Public Attachment ___, we insert a cross reference to bookmark SR_112, and it always returns an accurate number, even if we reorganize the order of our attachments.
This chapter (web page) takes you through how numbering is supposed to work in Word and the various controls. It is useful, but primarily on SEQ fields and simple numbered lists and also as reference showing the menus, dialogs and controls and going through the concepts for outline numbering. This allows you to use one type of numerals to consecutively number a document's preface or other introductory materials and another numeral system for the remainder of the document. You must first define your document's sections, and then you can add section markers or page markers to your master pages. Apply the master page to document pages to include the section and page numbers on the document pages.

Thank you for your reply.  It reassured me that I was on the right path. From having read other Help texts, I guessed that I would have to use good ole mail-merge and set up a numbers list in Excel. Luckily my knowledge of Excel was good enough to know about the drag&drop for sequential immediate numbering. When it came to the crunch, it was this particular type of mail merge which gave me a bit of initial difficulty. Despite my having used it happily and often in Word, for labels in Publisher, it was - not surprisingly - different in certain respects; principally the crucial point of the Print stage, which necessitated finding the option Publications & Paper Settings, and selecting 2 specific parameters, namely (1) Multiple pages per sheet,  (2) Single-sided printing (my default double printing had appeared). Once I'd sussed this, it was plain sailing.  Thanks again.

Perhaps your explanation already addresses this, but I can’t see it. Is there any way this script can be used for printing multiple-up in numeric sequence? For example, if I’m running 1000 postcards 4-up (on 250 sheets). I need the 4 cards on page 1 to be numbered 1, 251, 501, 751; then the 4 cards on page 2 numbered 2, 252, 502, 752; etc., so that when the sheets come out of the printer and are cut into 4, I have a stack of 1-250, a stack of 251-500, a stack of 501-750 and a stack of 751-1000.


When you are ready to restart numbering, you can use the technique above, or you can place your cursor inside a numbered paragraph above, click the Format Painter (the paintbrush icon on the Home tab under Clipboard), then click on the line where you want to restart numbering. Using Format Painter this way solves several paragraph numbering problems (the number sequence, indents, and inter-paragraph spacing) simultaneously.
Next we will look at scenario 2. The variation here is that Apex wants to start each year with anew sequence of numbers. Also, they want to include the year when displaying this number. We still use a DMax, but we need to add criteria to determine the year. So Apex needs to have a field in their table that indicates the date.
