I have done this twice now, getting flustered. The ticket part the person keeps has the correct sequential number on it, but the side that we keep has the same number on it for the whole page. What part am I missing, at first I did not uncheck the box, but this time I did but have the same number on the stub side that we keep with the person’s name, etc

Start writing the text for the numbers. In this case, I typed ticket “nr.” Leave any numbers out. This will be filled in by the data file. As you can see, the text box wraps around the full tickets with crop marks.

2. Yes, The code should be entered using CodeBuilder. Where you enter it depends on how and when you want to trigger the generation of the next number. If you want to use a button, that works. And no, you don’t use 000 in the NZ() function. If you want to DISPLAY at least 3 digits with leading zeros, then you do that in the Format function. Note, though, you will need to change that when you hit 1000 POs.

Starting with SQL 2012 a new option was made available via a new construct called SEQUENCE (Transact-SQL). Unlike the identity property which is bound to a single column of a table, a sequence is a stand-alone object. The other way would be to create bates numbers in Acrobat Pro, like every page numbered, and send this to the printer and print every color individually (that requires boxes of carbonless paper in individual colors) and mixed them somehow..but it would be a pain.

In the older versions of Access I have always been able to autocomplete a field by entering the first two numbers to give it a sequence, then using the cursor arrow to complete the rest of the rows.  I cannot do this in Access 2010.  Is it removed, or do I need to turn something on in the options.  Tried doing help searches but nothing found

Unlike identity columns, whose values cannot be changed, sequence values are not automatically protected after insertion into the table. To prevent sequence values from being changed, use an update trigger on the table to roll back changes.

You may wonder whether typing 1, 2, and 3 would be easier than using the ListNum field. I set the field default value to “1” and I put in the code exactly as you gave it to me. Then I printed 3 copies to make a test. What was supposed to happen was that the first copy have a “1”, the second a “2”, the third a “3”. Instead all 3 copies had a “2”.

Scott, we must be getting close to a working form, and following all the above goes well but upon clicking the button the error message I get is “You must enter a value in the Design Projects.Project ID field.” The text box on the form is bound to the table is Project ID. Naturally it is blank when the form opens. So, what next?

The Sequence Field has no switch to change the interval between numbers. It is always the next integer from the last one unless you are restarting the numbering. So, if you want a sequence of odd (1, 3, 5, 7,…) or even (2, 4, 6, 8, …) numbers, how can you generate it using the SEQ field?

Thanks for the quick reply, I think I’m a little confused by the Display aspect of this. Artifact ID is a primary key to the table I am working in and I need it to have a unique identifier that other people can search for. The previously adopted naming convention for this ID is that which I mentioned before, Collection Point ID plus a period and then a sequential number restarting at each new Collection Point ID i.e 2-1050.1, 2-1050.2, 2-1060.1 and so on. So I think I actually need to save this in the Artifact ID field. I realize this might be slightly redundant but I’m not sure how the display would work as far as searching for specific Artifact IDs in the future.

I have our folder structure set up based on our process flow. So basically our high level procedures will have their own folder and all of the respective processes and task lists will go in that folder. By using a good name for the file (enabling easy access) we would have all we need.

Document and Version Control Numbers are essentially special metadata fields. You can use one or both types of control numbers in a schema. If multiple document schemas use the same Document or Version Control Field, they are subject to the same numbering scheme. If schemas use separate Document or Version Control numbering schemes, then separate Document or Version Control numbers should be created and applied to the appropriate schema. The following screen shot shows both Document and Version Control numbers being applied to the schema.

You can use the same technique to restart a numbered list back at the first number as you did to continue with the previous list. In the Bullets and Numbering dialog box, choose Restart numbering, and then click OK.

Recently I have been marking up my changes manually, simply by changing the font colour, and thus avoiding such subversive feelings. This has the added benefit that I can choose my markup colour rather than having Word choose it for me. And my favourite markup colour is…(wait for it)…pink! Specifically, magenta. Why magenta? Because it’s the one colour that shows up well both in colour and when printed out in black & white. Blue and red are both too dark, but magenta is just right. Magenta markup has the added benefit of providing an ideal ice-breaker for document review sessions – I’ve lost count of the number of times I’ve had to explain why I use it. 

I’m also concerned about your table design. You mentioned entering a First name. But I don’t really see that people names belong in a transaction record. Can you explain more about what you are tracking in your app and what these transactions are.

Thanks Tony – i am going to start using the WIP designation today. I usually start revising my documents about 2 minutes after issuing them to the team – so this will really help me organize the in progress vs the issued.

What I mean is that TransactionID is a calculated value. It is calculated using the TransactionDate and Sequence fields. So it does not need to be stored. You use the expression to display it wherever you need to. This is explained in the blog.

It’s easy to enter a SEQ field manually. Begin by pressing [Ctrl]+[F9]. When Word displays the blank field, enter seq list1, as shown in Figure A. List1 is a required argument; you can use any descriptive name you like as long as it begins with an alpha character. The parentheses distinguish the numbers within the text. They’re not part of the field code. Highlight the field code and press [F9] to display the field’s value. As you can see in Figure B, the first field returns (1).

I removed the required setting on the table level. The form does not give me an error message now, but does not close on its on. I closed it via a command then looked at the Design Projects table to see if the new record, #896, shows up. A new record is there, with all the entered data EXCEPT the very important field of the Project ID. That field is blank.

Every time a document is checked out from FileHold using a standard web browser, Microsoft Office applications or using the FileHold Desktop application it becomes a candidate for automatic version control. Version control allows managers to track the history of a document as it evolves, it records the date when the version was changed and by whom. The actual version numbering system starts at version #1 and is incremented by 1 number each time the document is changed and is checked back in.

Using the instructions in #5, add an incrementing SEQ field. You can highlight any of them, except the reset field. For step 7, enter n}. n is the default switch that inserts the next number in the sequence, making it easy to remember. You don’t have to specify the \n switch, because it’s the default, but you can add it if it helps document your choice.

The other mark-up dilemma I often face is exactly what to mark up. In Issue 2 Draft B, do I show just the changes from Issue 2 Draft A or all the changes since Issue 1? Some of my audience may have seen Issue 2 Draft A and only want to know what has changed since then. Others might not have seen the previous draft and are only interested in what changed has since the previously approved version. Usually, I mark up all changes since the previously approved version, which seems to be the best catch-all. Sometimes I use different colours to show the changes for each draft. I never show mark-up from before the previously approved version though – that would get way too confusing.

Your Passenger table should have an autonumber PassengerID. That PassengerID should be the Foreign Key in your Reservations table. Some customers (especially engineering companies) work with large and complex documents that are tightly controlled. These customers like to assign a specific number to a document and use it throughout its lifecycle, this is what FileHold calls a document control number.

You specify this value so that the system calculates the total number of pages used to print a document. Directions are clear for sure but when i go to merge the first ticket is one but the second number on the raffle ticket is two. i have four raffle tickets per page the first three are messed up but the forth is correct all the way down to 500. Any ideas? i have tried with a header and without a header. i even made the first number with a formula. it does work with out putting next record but like you said it is four tickets with the same number and that would use a ton of ink. As I indicated, because you want to only generate this number just before saving, I would put this code behind a Save button or another event that runs just before you save the record. So if you want to prevent duplications, you don’t use the expression as a control source, but put the code behind a button or event. Since you have a Save button, put it there.

To recap, you use a DMax function to return the highest number in the Sequence and increment it by 1. You assign the incremented number to a control on your form and then immediately save the record. If your identifier includes additional information from the record, you use an expression that concatenates that information with the sequence number to display the full identifier.

Another alternative is to use the highest values + 1 as the next in the sequence. However as this relies on getting the max value of what could be a large table this may have performance/concurrency implications if the corresponding inserts do not happen in a timely fashion.

Type “1” (without quotes here and throughout) in the cell, press “Enter,” type “2” in the next row, and then press “Enter” if you want the numbers to remain the same even if the rows are subsequently rearranged. Now I’m having multiple problems even if i see the sequential numbering in the form view under transaction_ID field, it does not “save” those numbers in the transaction_ID in passengertable but it shows up in the form view (passengerform).

I had wanted to create a file that didn’t require Excel as the data source, so I created one using SEQ fields. It was terrible and too huge to mention (thanks Doug Robbins), so I recreated it using Word as the data source so that people who only have Word can use it. You can create up to 5,000 tickets without changing the data file. If you only have Word and need to create more than 5,000 tickets, please don’t type the ticket numbers. Note  Word does not convert typing to an automatic numbered list if the AutoFormat option is not activated. From the Tools menu, choose AutoCorrect. Select the AutoFormat As You Type tab, and check the option for Automatic numbered lists.

The previous macro is useful in a template for creating invoices, orders, certificates etc, but you may want to increment a number in a document each time it is opened. One way to do this is to increment a document variable each time the document is opened and display that number in a docvariable field.

The method below was inspired by code developed by fellow MVP Doug Robbins and reproduced in a web page he developed for the now defunct MVP FAQ site. The number sequence is stored in an editable text file called Settings.ini which is stored here in the Word startup folder and displayed by a docvariable field inserted in the header by the macro.

Note this works only because we create a brand new table, add an autonumber column to it as well any other columns we need then insert records into it. It’ll be contiguous – as long we don’t delete any records from the table. Unfortunately, creating a brand new table every time we run this will result in bloat of the Access file – if you can do it in a separate Access file, all the better so that you can compact it when you need to.

Sequential/Serial numbering is available on many products such as business cards, flyers, and posters (at an additional cost) but can only be done with our Digital Output printing service (not available with Offset Output). This service is not included as standard on our products and requires a Custom Print Quote.

What I mean is that TransactionID is a calculated value. It is calculated using the TransactionDate and Sequence fields. So it does not need to be stored. You use the expression to display it wherever you need to. This is explained in the blog.

If you need to apply numbering within a paragraph rather than to the entire paragraph, you use Word’s ListNum feature. Using the ListNum feature will allow you to take advantage of the numbering system you’re currently using in your document (it will use the one you implemented most recently if you’re not currently using a numbering system). The ListNum Field is available in Word 97 and later and interacts with multi-level list numbering (which should be linked to styles as set forth here). Here is a brief explanation of differences between the ListNum field and the Seq field.

The last 3 digits shall be the sequential number from 001 to 999 and assigned in sequence. The similar drawings or documents in the same discipline should be grouped by assigning numbers in series to the possible extent.

The fastest way to get numbers into your document is to click the Numbering button on the Formatting toolbar. This button gives you either Word’s default numbering scheme in your document (1, 2, 3) or the last numbering scheme used during this session of Word. Word’s default numbers are Arabic numerals followed by a period.

As I indicated, because you want to only generate this number just before saving, I would put this code behind a Save button or another event that runs just before you save the record. So if you want to prevent duplications, you don’t use the expression as a control source, but put the code behind a button or event. Since you have a Save button, put it there.

Numbers in Word documents pack power. They can communicate when to do a task, or relate an item’s name or relative importance. Using these dynamos incorrectly can make document content confusing or even illegible. Following some basic rules for numbering pages, outlines and graphics will help you avoid these pitfalls.

So how long should a doc number be? There’s no hard & fast rule, but a document sequential numbering can be as short as 5 digits, with a simple discipline descriptor and a sequential number assigned to certain project elements. Most projects can benefit from a numbering protocol that is under 15 digits in length. When broken down, it only needs to hold Author-Discipline-Project Location-Sequence. This is far easier to understand for everyone on the project and, most importantly, its simplicity means there’s less chance of someone, somewhere, making a mistake.

Tip  Microsoft strongly recommends that you link your numbering to styles. The importance of this will be very apparent during the Outline Numbered section. Also, there is more information on the importance of styles when working with numbering in the Styles chapter. 

Document IDs help you manage your documents by providing an easy way to track items regardless of their location. For example, if a legal contract gets moved from a document library on one site to a document library on another site, the contract would be easy to locate based on its Document ID. Document ID’s are automatically assigned to uploaded documents and this ID will follow the item throughout its entire life cycle. Document IDs can also be assigned to Document Sets.
