However, on re-opening the Word document, I have the dialogue box Invalid Merge Field. I have to use Task Manager to close down Word. I am using Word 2010. Maybe that is part or all of the problem. Any ideas please? I need to sort this by tomorrow night to print them on Monday!

The trick is this: I creat an ‘template’ of the card, somewhere outside of the page. All object for data are text object, with all the formating needed. In place of the photo is an rectangle. The script read an text file (CSV) with the database, duplicate all template object, one by one and replace string in text object with the string from DB and import photo in place of the rectangle, redimension and convert to RGB or CMYK, acording to the initial data (atach.) When the page is full, create another one.

Given that Word can support 2,147,483,647 SEQ fields, the whole job could be done in a single document containing 30,000 tickets. On my system, creating such a document took only a few minutes and, once created took about two minutes to update the fields – and that was with about 40,000 pairs of SEQ fields coded as {SEQ Ticket \# 00000} and {SEQ Ticket \c \# 00000}. This number formatting is enough to go to 99,999 tickets.

Measure out your tickets. If you are keeping your raffle fairly small (>50 people), it is just as easy to write up the tickets all by hand. Take a ruler and cut them out in rows and columns so that you have a bunch of tickets of the same size. If you’re making enough tickets in the raffle to be worth several pages of paper, you might try measuring them out and cutting them all at once. However, this time-saving technique shouldn’t be tried unless you know you’ve gotten your measurements down perfectly.

Thanks very much for your prompt reply, which reassured me that I was on the right path. From having read various Help topics, I suspected that I’d have to use an Excel data source for the numbers. Fortunately, my knowledge of Excel was good enough to know about the drag and drop facility to create automatic sequential numbering, so the data source creation was easy. In the end, it was the mail merge (no surprises?) which proved a tad tricky, but I got there in the end. I’ve used MM many times and quite happily in Word documents, but for Publisher label format, it was of course a bit different. The important bit that I had to discover for myself was the significance of, after getting to the Print stage, going into Print options, to Publication & Paper Settings, and selecting Multiple Pages per Sheet (& in my case, also “Single-sided” cos my default of duplex printing had come up). I’m not sure what you’re doing – the ‘/’ should be ‘\’ and the very first ticket # should not have the ‘\c’. See the attached. It has the FILLIN field in the first SEQ field as described in my previous post. Simply press Ctrl-A, then F9, input a starting # and all the tickets will update.

I used the CS3 directions to number 500 tickets both at the top and bottom of each ticket 4 up on a page. This method worked great and really didn’t take very long at all. I dudplicated several spreads at a time to create my 125 pages of tickets ( 4up = a total of 500 numbered tickets). Thanks so much for the help!

There’s an old Steve Martin joke about how to make a million dollars which starts, “First, get a million dollars…” That’s the key to this trick, too: First, get a bunch of numbers. Here’s a file with 1,197 numbers in it. Now import or paste those numbers into a thread so that the numbers appear in the right place. If you need two matching numbers, just import it twice.

I have attached a file I am attempting to configure with sequential #’s. I have (I think) placed the switches and other codes correctly, but the numbering is a bit screwy. Will you take a peek and let me know your thoughts?

My quick process involves setting up a row of plaques with a01, a02, a03, thru a09. Then copy the plaques to the clipboard. Run the REPLACE TEXT feature to replace “a” with “1”. Move row down and paste clipboard back into page. Run REPLACE TEXT to replace “a” with “2”. Repeat until I get all the numbers. It’s faster than manually typing the numbers in but I know there’s go to be someway of automating the process.

I’m struggling with this as well. I tried creating a .txt file of sequential numbers 1-99 from Excel and brought it in as a datamerge. My tickets are 8″x3″, 3-up, but when I did the merge, InDesign added 3,416 pages. Where the Hell is THAT coming from?? Any clue what I’m doing wrong? I’m using a tutorial that is using CS5, but I don’t see how that has anything to do with all those bloody pages.

After dealing with the numbering problem, you also need to end up with single raffle tickets from the stub. The cutting and perforating bit can be quite a hustle depending on the number of raffle tickets that you are planning to sell. But this is something that can be done by one individual who is dedicated. All one would require is full size paper cutter together with an inexpensive tracing wheel to get over this stumbling block in whole process. You could also choose to enlist a group of people to help you out in this to finish this in a timely manner.

For a ‘small society lottery’ (tickets sold in advance), tickets must show the name of the promoting society (and the purpose of the lottery), the ticket price, the name and address of the organiser and the date of the draw.

There is a good chance that the digital printer that you will use, has a cut and stack imposition method. This is a method that replicates Peter’s description, except it is done at the RIP and automatically. If this is the case, all you would need to do is supply a file from your data merge (20,000 single pages), and the imposition is taken for you.

When the context menu opens, look for the choice Edit Field…. If it doesn’t exist, then your template doesn’t use the SEQ function. If it does exist, click on it. When the next window opens, you should see SEQ in the Advance field properties box. That template definitely uses SEQ.

To make the data file you fill the first column starting with the first number in the first row and put the second number in the first columen second row, and soforth, filling the column downward in in consecutive order until the correct number of rows is reached, then you start with the next number in the first row of the second column and work down again. The trick is this: I creat an ‘template’ of the card, somewhere outside of the page. All object for data are text object, with all the formating needed. In place of the photo is an rectangle. The script read an text file (CSV) with the database, duplicate all template object, one by one and replace string in text object with the string from DB and import photo in place of the rectangle, redimension and convert to RGB or CMYK, acording to the initial data (atach.) When the page is full, create another one.

The number of the ticket is the only thing that changes. If you’re starting to sell tickets that are in the double or triple digits, you can add a digit to the front. However, given how fast numbers can be written by hand, this may not be worth the trouble.

Thank you for these clear instructions. I have had the same problem as Mommy Vaughan and followed the suggestion. However, on re-opening the Word document, I have the dialogue box Invalid Merge Field. I have to use Task Manager to close down Word. I am using Word 2010. Maybe that is part or all of the problem. Create a text frame on the Master page, while dragging, split the frame horizontally and vertically using arrows on the keyboard (Gridify your frame), this way all frames are threaded, you may do the same on both pages of the Masters (Spread) but make sure you link last frame of left Master page and first text frame of right Master page.

My solution for this when trying to add a number on a page between already existing numbers where to usa a current text frame of the previous number and create a new list object from there. And then I would overset that text and press the overset +-sign to place it on the page. Works perfect.

If you are making the tickets ten-up you can put everything on a master page. Make the ticket number [Page Number][digit 0–9] then fill with pages based on that master. Page 1 will be tickets 10–19, page 29 will be tickets 290–299, etc.

After the grid of numbers is done, you need to insert a new row at the top to hold the field labels (Stack 1, stack 2, stack 3… or whatever) and then save as .csv or tab delimited text to use as the Data Source file for the merge.

In the example I explained, I was using a list, but did it with un-linked text boxes using “continue from previous number” and “continue numbers across stories.” I’m guessing that there is no way to tell InDesign that even though there are 4 text boxes on the page, that there are two different lists? I’d probably have to just create two threaded stories for that scenario to work.

Yes, it is a pain to reprint one or two sheets if you have closed the file. I’ve learned to leave the file open on the desktop until the tickets are finished. This way if the perf, or cutter messes up I can easily reprint those ticket numbers without re-aligning the art & numbering.
