Fortunately, my knowledge of Excel was good enough to know about the drag and drop facility to create automatic sequential numbering, so the data source creation was easy. In the end, it was the mail merge (no surprises?) which proved a tad tricky, but I got there in the end. I’ve used MM many times and quite happily in Word documents, but for Publisher label format, it was of course a bit different. The important bit that I had to discover for myself was the significance of, after getting to the Print stage, going into Print options, to Publication & Paper Settings, and selecting Multiple Pages per Sheet (& in my case, also “Single-sided” cos my default of duplex printing had come up). But TA-DA!  All is fine now. Thanks very much again.

My issue is trying to create small dot labels or equivalent to make up sequential alpha numeric labels to identify each individual item that I have in my shop, retrospectively. I have possibly sequential numbering in word individual items that need coding for stock take purposes yet I can find no outlet that supply such thing. Do you have any suggestions. My line is antiques/collectables, predominantly china with items ranging in size from 2-3cm to 5/600cm. I would be most grateful for any solutions or suggestions. Best regards. Pete.

1. Create a text frame on the Master page, while dragging, split the frame horizontally and vertically using arrows on the keyboard (Gridify your frame), this way all frames are threaded, you may do the same on both pages of the Masters (Spread) but make sure you link last frame of left Master page and first text frame of right Master page.

Getting Word to put a unique number on each raffle ticket is easy enough, but persuading Word to print out several uniquely-numbered raffle tickets per sheet of paper is very hard (I think it is impossible, actually. Numbered tickets are a bitch in InDesign. Mainly because if the RIP time. I’ve found that what I have to do is do two runs. One run of just the tickets with the blank area for the numbers. Then I put those back through the copier to print the numbers on them. You want to set up an excel sheet with just one set of your numbers. Not 1, 1, 2, 2. Just 1-3000. Then you create the text boxes for the numbers for the first ticket and draw a text box that is the exact size of the ticket around and send it to the background. Then do a mail merge. You will grab the mail merge name of the column and drop it into each text box so each text box will have the name of your column (like <>). That means that being the same, each number will go into each box so the first ticket will get number 1 and number 1. Then you do the mail merge doing multiple entries per page or whatever it’s called and it will create all the pages needed. So you will end up with a 375 page document to create 3000 total tickets based on an 8 up.

3. Consequently, select the Insert option and then move your cursor over the Draw Text Box choice and click it. Wait till your cursor symbol becomes a plus mark. Then hit on the ticket and pull to sketch a tiny box to add the number sequences.

The learning curve was a bit steep but once I got the hang of it – no problem. Print, perf & cut….can have 1000 tickets done in an hour if necessary. You can change number size, font, color, alpha prefix, add pix & graphics…….

After the grid of numbers is done, you need to insert a new row at the top to hold the field labels (Stack 1, stack 2, stack 3… or whatever) and then save as .csv or tab delimited text to use as the Data Source file for the merge.

Chuck, It does look as though using data merge is the best way, but rather than generating the numbers in Excel here is an improved number generator script to create indesign number and counterfoil numbering data merge files. We recently had to print 500 numbered tickets 8 up on 8.5 x 11. When we took it back to Bindery they would have had to hand collate the tickets back in order after the cut.

An awesome new feature to has been introduced to Microsoft Publisher 2010 is the ability to use Data Sources to create “Catalogue Pages”. This is like a Mail Merge for design documents. Now, I would have to agree that Publisher isn’t the best graphic design program in the market. But it’s certainly adequate for simple ticket designs — for example, for a school social. Let’s say we want each ticket to have a unique number and an inspiration quote. This is all possible through Publisher and a data source, e.g. an Excel Spreadsheet.

If you wish to facilitate numbering then you can click on the number box or else you can give delete option to commence your own numbering series.

I’ve used MM many times and quite happily in Word documents, but for Publisher label format, it was of course a bit different. The important bit that I had to discover for myself was the significance of, after getting to the Print stage, going into Print options, to Publication & Paper Settings, and selecting Multiple Pages per Sheet (& in my case, also “Single-sided” cos my default of duplex printing had come up). I’ve described how to do this using Data Merge a number of times, including in post # 6 at I need to number 20,000 tickets in InDesign and have them in order when I cut them where I describe how to do it for stack-cut imposition without a plugin.

When you are ready to print, you will need to either merge the data to a new document or straight to your printer. I recommend merging to a new document so you can preview the entire thing before printing. The icons look like (Merge to Document, Merge to Printer)

However, on re-opening the Word document, I have the dialogue box Invalid Merge Field. I have to use Task Manager to close down Word. I am using Word 2010. Maybe that is part or all of the problem. Tip: If your data source contains records that share the same information, and there are ten or fewer unique values in the column, you can filter by specific information. For example, if there are multiple records that list Australia as the country/region, you can filter on Australia.

Press Ctrl+V for each additional row of labels you want. You want enough rows of labels to meet your entire needs. Thus, if you need a total of 125 labels, and you can get 3 labels per line, you should end up with 42 rows of labels.

If the second number on your raffle ticket is one higher than the first number, you must have accidentally put the <> tag after the first number (causing the next number, on the same ticket, to increase by one). You only need the <> after the second number on each ticket, so the next ticket gets a new number. (But you don’t need it on the final ticket on the **page**, because the next **page** automatically gets a new number)

You’ve got some tips to help make your raffle more successful. You’ve got several free Word ticket templates to choose from. You know how to sequentially number tickets in two different ways. All that is left for you to do is go sell those tickets, have the draw, and then feel good about helping someone out. All for pennies on the dollar over ordering custom made tickets.

Print using a template.[4] If you’re printing over a computer, you don’t need to design the tickets from scratch. There are templates specifically designed for raffle draws. Look up one of these templates and print rows and columns of them onto as many printer sheets as you need. You can take the image and type the necessary information as needed via a Word processor. In the example I explained, I was using a list, but did it with un-linked text boxes using “continue from previous number” and “continue numbers across stories.” I’m guessing that there is no way to tell InDesign that even though there are 4 text boxes on the page, that there are two different lists? I’d probably have to just create two threaded stories for that scenario to work.

It came to me partially in my sleep, I tried refining it this morning but because of time, finally had my production person print the manually numbered tickets so that we could deliver them to the customer who needed them today. Here is my solution. I deduced that it would be better to let a program designed to count, do the counting. I used Excel.

If you are using the Raffle Ticket Creator app (app.raffleticketcreator.com) then you can’t change the font size … you’ll just need to tinker with the exact words that you are including in order to get them to fit on the page. If you need leading zeros then just format the column as text. The ticket numbering problem seems solved, if awkwardly. But what about linking automatic numbering of text references to a figure (e.g. “see fig.101″) to a legend of that figure (e.g. 101 shows.”)?

If you place multiple frames on one page and apply the same numbering style, InDesign will count not be placement but order of creation. That is the reason why I get this weird order on the picture above.

I also use printer bench pro…we do 12 coupons up on 11×17, and print the background into a variable data master file and then select this master when printing out of PBP and its easy cheezy….now if they would just write the software for a mac
