I basically used Bob Levine’s method (thanks) but wanted to add some extra detail – am using CS2 which is somewhat behind CS3 in this area. David, I was very discouraged to read your response to Josh on April 28th 2008. It seems your comment was quite dismissive to him with exactly no feedback help. He seemed to be looking for some more help trying to sequential numbering in word through what you and the other InDesign gurus discuss as a “simple process”. I to, have read through your directions while using both mac & pc platforms. I fail to find the “standard features” screen shots that you show above in either program. I too have spent several hours trying to get the sequential 3-up numbering as described.

I have attached a file I am attempting to configure with sequential #’s. I have (I think) placed the switches and other codes correctly, but the numbering is a bit screwy. Will you take a peek and let me know your thoughts?

10. Back in the document, select your dummy number in the first ticket. Click the button ‘Insert Merge Field,’ then select the one entry in the drop-down menu, which will be the first number from your spreadsheet.

13. Click ‘Finish & Merge.’ Choose ‘Edit Individual Documents,’ then select ‘All’ in the ‘Merge to New Document’ box. You may be tempted to place this number on a master page. That would make sense, but there’s a catch: Autonumbered paragraphs on a master page don’t update until you override them. That is, you have to Command/Ctrl-Shift-click on them to make them “kick in” and update to the correct number.

Thanks very much for your prompt reply, which reassured me that I was on the right path. From having read various Help topics, I suspected that I’d have to use an Excel data source for the numbers. Fortunately, my knowledge of Excel was good enough to know about the drag and drop facility to create automatic sequential numbering, so the data source creation was easy. In the end, it was the mail merge (no surprises?) which proved a tad tricky, but I got there in the end. I’ve used MM many times and quite happily in Word documents, but for Publisher label format, it was of course a bit different. The important bit that I had to discover for myself was the significance of, after getting to the Print stage, going into Print options, to Publication & Paper Settings, and selecting Multiple Pages per Sheet (& in my case, also “Single-sided” cos my default of duplex printing had come up). But TA-DA!  All is fine now. Thanks very much again.

Click on Update Labels in the “Mailing” ribbon, and this will roll out the formatting to all the cells. You can click “Preview Results” to see what the tickets will look like when printed, and you can navigate pages and tickets by using Next Record, Last Record, Previous Record, or First Record.

Use the navigator on the right hand side and choose Edit All to make changes to all your tickets, such as changing the overall text style and size. Choose Edit One to make changes to individual tickets.

  1. Next we will import our pre-designed raffle image. For the purpose of this tutorial we will be using a pdf that was created using Adobe Illustrator (Download pdf File). Place this pdf into the document by going to (File > Place) browse from the file and click Open.
    I had wanted to create a file that didn’t require Excel as the data source, so I created one using SEQ fields. It was terrible and too huge to mention (thanks Doug Robbins), so I recreated it using Word as the data source so that people who only have Word can use it. You can create up to 5,000 tickets without changing the data file. If you only have Word and need to create more than 5,000 tickets, please don’t type the ticket numbers. Just drop me an email and I’ll create another data file for you with the required numbers.
    To make sure people get their prizes, give them lots of room to print their name, address, and phone number. Some people are leery about giving out their address, but do make sure you get a printed name and phone number.
    What is the best way to set up a document to do this without having to manually enter 300 numbers? The best way to handle this depends on whether you’re using CS2 or CS3. I much prefer the CS3 method.
