We recently had to print 500 numbered tickets 8 up on 8.5 x 11. When we took it back to Bindery they would have had to hand collate the tickets back in order after the cut.

It was terrible and too huge to mention (thanks Doug Robbins), so I recreated it using Word as the data source so that people who only have Word can use it. Instead of working harder than you need to, insert a one-column table with as many rows as necessary to accommodate your list. Then, using Word’s numbering feature, number that column. Finally, convert the table to text. The resulting list is a fixed numbered list, so you’ll have to live with its limitations; when you can do so, this method definitely beats most alternative solutions.

I know that PrintShopMail will do it, but I was wandering if there was a less expensive solution out there so that I could get numbered tickets (usually 4-up) right off the Xerox. I just want to avoid having to go the the Windmill after trimming and doing it the old fashion way. There is a tiny little copy shop here in town that is doing it, and am willing to bet that they are not using PrintShopMail, but I’m also not going to ask them to share their methods with a competitor. Yes, it is a pain to reprint one or two sheets if you have closed the file. I’ve learned to leave the file open on the desktop until the tickets are finished. This way if the perf, or cutter messes up I can easily reprint those ticket numbers without re-aligning the art & numbering.

My solution for this when trying to add a number on a page between already existing numbers where to usa a current text frame of the previous sequential numbering in word and create a new list object from there. And then I would overset that text and press the overset +-sign to place it on the page. Works perfect.

We use the auto page numbering trick here, the trick is to do it as spreads. You just make your pages the same size as the ticket with crops and bleeds. Then set up the shell on the master page and place your auto page number where you want your numbers. Each pages is the next number. You can also have two sets of numbers for perforated ticket. You then can use the page start options to add to the numbers and keep the same number of total numbers. For example you would do a new page start after number 99. 0001 to 0099 so it doesn’t add two “0’s” to the front of 100 and you get 00100 when you want 0100. Works great for small quantities, we have done up to 1000+ tickets and once you do it once or twice it is a snap to set up. To avoid having to do 1000 pages just send the tickets in groups. Usually between 25 to 100 at a time works good depending on artwork file size. Just save each time before sending to printer and name the file with what the tickets are. Like “MyTickets-0001-0100.Indd”. Makes it easier to go back if you have a problem. You can even do two rolls of tickets if your using 12 x 18 sheets by flipping the sheet and doing one row along the top and one along the bottom on reverse side. That is if your ticket is single Sided. Two sided tickets are a bit trickier. 🙂

It appeared designed for variable numbers in one place. My customer needed her tickets numbered in two places, on the ticket and on the stub. Because she needs them tomorrow there is no time to send them out to be numbered manually. I’ll keep watching this space for more info. Thanks folks.

Now import or paste those numbers into a thread so that the numbers appear in the right place. If you need two matching numbers, just import it twice. However, on re-opening the Word document, I have the dialogue box Invalid Merge Field. I have to use Task Manager to close down Word. I am using Word 2010. Maybe that is part or all of the problem. At this point, you’re ready to load your card stock into the printer and print the tickets. I recommend that you preview the print job before sending it to the printer to make sure everything’s in order. To print the tickets, do the following:

This probably won’t get to you before I need to solve my issue but I am having the following issues using Mac Word 2011- starts at 2 instead of 1, and then skips numbers every new page, i.e. 5 tickets/page numbers 2, 3, 4, 5, 6 -no 7- next page starts 8, 9, 10, 11, 12 – no 13- all the way through to 1300. This ends up eliminating 900+ tickets. Not sure if others have had this issue as well- I can’t seem to find anything online.

I then numbered two rows across 1 -4, then 5 -8. Then I dropped down to A – H in row 260. (I did this to give 1,000+ numbered tickets.) I use a little program called “Number It” I purchased on E-bay a couple of years ago. It will print the ticket (from bmp file) and number on the Canon 3200 in one pass. BW or Color. Nice little program and well worth the $50-80 price.

If you work in a business where you need to sequentially number items, you might be wondering if there is a way you can use Word to create the labels for you. wow, what a relief to find these solutions! I had to gang 250 stickers on a single page and number them sequentially (so, page numbering and master page solutions wouldn’t work). The tips for Indd ‘numbered lists’ worked like a charm, even tho I’m in CS5. This was a lifesaver; MANY thanks!
