If you work in a business where you need to sequentially number items, you might be wondering if there is a way you can use Word to create the labels for you. Word has many ways you can implement some type of numbering in your documents. For instance, you can use different fields for numbering, or use numbered lists, the captioning feature, or you can use mail merging. While all of these features (and more) use some type of numbering in them, they are not all well suited to creating labels.

Thanks very much for your prompt reply, which reassured me that I was on the right path. From having read various Help topics, I suspected that I’d have to use an Excel data source for the numbers. Fortunately, my knowledge of Excel was good enough to know about the drag and drop facility to create automatic sequential numbering, so the data source creation was easy. In the end, it was the mail merge (no surprises?) which proved a tad tricky, but I got there in the end. I’ve used MM many times and quite happily in Word documents, but for Publisher label format, it was of course a bit different. The important bit that I had to discover for myself was the significance of, after getting to the Print stage, going into Print options, to Publication & Paper Settings, and selecting Multiple Pages per Sheet (& in my case, also “Single-sided” cos my default of duplex printing had come up). But TA-DA! All is fine now. Thanks very much again.
I am creating a file in inDesign for a client that is asking for numbered tickets. They’d like to be able to print a specific number for each ticket. I’ve read some of the older answers for similar questions that refer to Data Merge, but I’d prefer not to take that route if avoidable. What I’d ultimately like to do is create a space for the numbers to go, select the number of pages within the Print menu, and have the spaces populate with the corresponding numbers while printing.
Numbering of the raffle tickets can be quite a challenge but one can still manage to do this. You could accomplish this by manually numbering the raffle tickets. Alternatively you could use a software program such as Microsoft Excel through a mail-merge operation to number the raffle tickets.

To make the data file you fill the http://ringringpromotions.org column starting with the first number in the first row and put the second number in the first columen second row, and soforth, filling the column downward in in consecutive order until the correct number of rows is reached, then you start with the next number in the first row of the second column and work down again. This should make it clear that every row represents a stack of ticket. A spreadsheet like Excel can auto-fill the grid for you once you have enough numbers in place to establish the pattern, generally three in either direction.
Once you’re sure that the legal bases are covered, you’ll want to be sure that your raffle tickets make running the show easy and successful. Printing your own tickets can help. It could save you money and it gives you complete control over how your tickets look.
Print using a template. If you’re printing over a computer, you don’t need to design the tickets from scratch. There are templates specifically designed for raffle draws. Look up one of these templates and print rows and columns of them onto as many printer sheets as you need. You can take the image and type the necessary information as needed via a Word processor. Print off a sheet and have it ready.
Once you click on this icon, a dialog will pop up asking you what data you wish to merge. You can either merge all the data (All numbers in the excel file), current record (just 1 sheet), or select a range. I recommend selecting a range, as the Excel file packs contains numbers up to 10,000.
You create a numbering macro in Excel. I have mine set-up so I can do multi-up NCR crash numbering and still be able to cut & stack the output. Raffle tickets would be just as easy. PM me with your e-mail and I will send you my excel file.
Any time you want to produce another batch, open the document, press Ctr-A, then F9 and input the starting Ticket #. Simple. Alternatively, if you have Word configured to update fields at print time, just print the document. When you do so, you’ll be prompted for the starting # and Word will take care of the rest.
Selling raffle tickets is a simple and quick way to raise funds for an event or charity. Once you’re finished with the design, go to the “Mailings” ribbon to start the mail merge. You’ll see that the “Update Labels” is grayed out. Change that by clicking on Start Mail Merge > Labels > Cancel.
Create an Excel worksheet that has as many numbers in it as you need. For instance, if you need 175 labels, you would place a title in cell A1 (such as “Number”) and the 175 numbers you need in cells A2 through A176. Make sure you save the workbook.

With all of the many available templates, how do you select the right ticket design? It’s a good idea to choose a design featuring a background image that in some way fits with your fundraising purpose. This ties your efforts together in a cohesive way, making your tickets more attractive to buyers. A good design gives potential buyers an idea into the type of cause they’re supporting right off the bat. If you’re raising money for a sports organization, choose a template featuring sporty images. LIkewise, a template with musical notes on it fits in well for a band-related fundraiser. However, if you need a basic template that works for any function, we have simple designs that fit any general need. It’s best to use something other than general copy paper when printing raffle tickets. Heavier weight paper, or even card stock, could be a better choice. Not only does it look more professional, but the tickets will tear off more easily along the perforation. Choose paper colors on the lighter end of the spectrum so that the template design shows up clearly when printed. Office supply stores and craft stores carry papers in various weights, and these are both good places to buy card stock. Some stores sell raffle ticket paper that’s already perforated, so using this type eliminates one of your most time-consuming tasks.
