So how long should a doc number be? There’s no hard & fast rule, but a document number can be as short as 5 digits, with a simple discipline descriptor and a sequential number assigned to certain project elements. Most projects can benefit from a numbering protocol that is under 15 digits in length. When broken down, it only needs to hold Author-Discipline-Project Location-Sequence. This is far easier to understand for everyone on the project and, most importantly, its simplicity means there’s less chance of someone, somewhere, making a mistake.

It was terrible and too huge to mention (thanks Doug Robbins), so I recreated it using Word as the data source so that people who only have Word can use it. I’m about to start a business and want to set practical guidelines for our new, pristine online document store (with built in version control). In previous roles I’ve had to grudgingly accept that different situations require different naming conventions, but those apparently choosing the convention seemed to make it up as they went along! Our folder structure will emerge organically, so I’m considering setting a rule that says sub-folders with CAPITALISED names should contain a file with the naming conventions for that branch, whereas folders in Sentence Case should inherit guidelines from the parent (or grandparent) folder. I’ll suggest they read this post and follow Josephine’s link to the excellent guidelines written by Anne Thompson of the University of Edinburgh. To make sure people get their prizes, give them lots of room to print their name, address, and phone number. Some people are leery about giving out their address, but do make sure you get a printed name and phone number.

In terms of abbreviations, I try to avoid them because they assume everyone knows what they mean. If your audience is small, and you can guarantee they will understand what “V01_F02” means then that isn’t a problem. But if your audience is wide, you might want to think twice about abbreviating. As with versions numbers, alphanumeric characters in filenames are free, you can use as many as you want!

The ordering process is different for online and custom products, so please don’t complete your online order if you want to combine it with a custom one. I already created a background image (in EPS format, which is available to Vector Plus members in the download). Outline Numbering becomes much more powerful when you attach styles to each level. Styles provide the text formatting while outline numbering provides the numbering format. Together, you can save yourself a great deal of time.

Step 4: Using your sequence numbers in Templates.   Now, once you have setup your sequences, it’s best to set them up in your “templates”, so your future documents created from this template will include the new sequence and number.   Open a template, go to More > Settings > Template Sequence section and click on the “Gear” icon.

Using properly a standrd usualy solves 99% of problems. Not doing that generates “new revolutionary methods” of doing what one is supose to do in the first place (see “agile” and PMBok; PMBok states that a PM should manage team, time and change requirements in most efective and efficient way – using various tools. Having lost a couple requirements document myself, (due to the famous ‘your word has crashed’ exception) I would to like suggest a couple additional techniques. One is to always have a local disk backup (always; along with the shared-space copy) and then adopt a naming convention to work through your drafts. And for any document that I am working on, I create an “archive” folder, and continue to save the older versions in this folder. This makes your main folder clutter free and allows you to focus on the ‘document at hand’.

Most changes you make to the top ticket are automatically made on all the other tickets, too. No tiring copying and pasting needed. The template shows just 5 tickets, but once you have them looking the way you want, just multiply them using copy and paste.

This is a great thread and very timely as I’m about to write a short document around file and folder taxonomy for a PMO team. Well named documents are a cinch to find and I’m well in favour of the Tony’s suggestions above but would also include a date indicator using the YYYYMMDD format to ensure that all docs are in a chronological order. I also use words rather than letters i.e DRAFT, BASELINED etc for clarity. Ok so picking it apart a bit more; would anyone believe it good practice to only refer to a document number in text rather than quoting the title too? We think not. If you work in a business where you need to sequentially number items, you might be wondering if there is a way you can use Word to create the labels for you. Word has many ways you can implement some type of numbering in your documents. To select outline numbering without changing the formatting of the paragraph, make sure that you select an outline numbered list that is not linked to the Heading Styles feature. In order to ensure you are not missing important data for your business, it is a good idea to number your business forms. It’s got to be right before we start! Proofs usually take a day or two to create, depending on how much design and layout work your Event Program requires. If you can design your image at 300 dpi resolution at print size, we can make it work. It’s especially important to start with 300 dpi if you have text in you image. For non-bleed tickets (those with a white border), keep the image 0.17″ in from the cut size on all four sides. For bleed tickets (those where the color or image extends to the edge of the ticket), extend the background color or image 0.1 inch beyond cut size on all sides. Keep all text information 0.1 inch within cut size to avoid it being cut off.
