Warning  Making even minor changes to an outline numbering scheme won't necessarily change the initial position you've selected in the gallery, but rather may create a new gallery position, overwriting an existing one. Because of this problem, attaching numbering to styles is strongly recommended. This is covered in greater detail later in this chapter and in the chapter on Styles.
To save the list style to a template so you can use it with other documents, select the list in the document. Access the Multilevel List dropdown and choose Define New List Style. Enter a descriptive new and select the New documents based on this template (at the bottom). Once you click OK, the multilevel list style will be available in all new documents.

Do not let me lead you into a headache under false pretences: this FAQ is not going to tell you how to fix a document that contains broken numbering. It simply explains how the numbering works: this is valuable information if you work with Word a lot, and by understanding it, you can often work out how to fix a document. However, this FAQ is not going to tell you how.  (For a discussion of methods, see: List Restart Methods).


CK Note: Word 2007 - 2013 interface has an different automatic numbering scheme which I have been told is much less subject to corruption. Microsoft Word 2010 Bible by Herb Tyson, MVP. However numbering is still very imperfect in these later versions. I still recommend following Shauna Kelly's step-by-step instructions (see above) if setting up numbering in a template or in a document likely to be heavily edited. If you start without doing this and end up with "spaghetti numbering," fixing it will be a very large chore!

I tried all the answers offered here (Kevin's "reapply" answer, importing a style set from a working document, saving as .doc, using the "update to match selection" option to copy a style from a different document, using the "Change Styles" option to do the same, ticking the "Automatically Update" option, clearing formatting and manually recreating the style, changing the theme of the document and then redefining the multi-level list), and many of them worked temporarily, but the problem persisted every time I reopened the document.
Warning: Avoid using the Format > Bullets and Numbering dialog to restart list numbering (and its equivalent, the ListGalleries collection, in VBA code). Accessing list templates via the list galleries has been implicated in building up extra list templates in documents, changing list template names, and losing links between list templates and styles.

In a nutshell, the solution is to set up a new Multilevel list style yourself - the procedure from the URL above is a wonderfully detailed step-by-step on how to do it and this will most certainly address the problem.  Taking your time, you can set up the styles properly in about thirty minutes; to replace the dysfunctional styles with functional ones throughout your document, you might use Search and Replace.


With all of the many available templates, how do you select the right ticket design? It’s a good idea to choose a design featuring a background image that in some way fits with your fundraising purpose. This ties your efforts together in a cohesive way, making your tickets more attractive to buyers. A good design gives potential buyers an idea into the type of cause they’re supporting right off the bat.
Although there is a built-in Document Property called Revision Number (which you can see if you select File + Properties + Statistics, this is of no use, because it is incremented every time the document is saved. From a Quality perspective, the document revision number (we'll call it the version number from now on to distinguish it from the thing that gets incremented on each save) should be incremented each time a document is redistributed, and not each time it is saved (it could be saved many times during a single editing session).

Hello Bruce, I seem to be having a different problem altogether. I created my ticket in word using logos and text boxes as needed, ticket looks great. I followed your very clear instructions but when I did the Finish & Merge I got this message, "You cannot include DATA, NEXT, NEXTIF, or SKIPIF fields in comments, headers, footers, footnotes or endnotes." I then click on OK and get this, "A field calculation error occurred in record 1. Bruce any help would be much appreciated. Thank you!!
You probably know about Word's mail merge feature, and you might even use it to print labels or other documents, where some of the information changes (such as form letters). Restart numbering using LISTNUM fields. This method makes use of the fact that LISTNUM fields can refer to the same numbering schemes as numbered paragraphs, and can be used to set the number for a particular list level explicitly. This is a reliable ad-hoc method of restarting lists, but needs care and understanding if there are several numbering schemes in use in a document.
I have done this twice now, getting flustered. The ticket part the person keeps has the correct sequential number on it, but the side that we keep has the same number on it for the whole page. What part am I missing, at first I did not uncheck the box, but this time I did but have the same number on the stub side that we keep with the person's name, etc
